Data Protection & Regulatory Compliance

As a Notary Public regulated by the Faculty Office of the Archbishop of Canterbury, we are committed to uphold the highest standards of confidentiality and regulatory compliance. In so doing, this practice:

  • Operates in full compliance with the Notaries Practice Rules 2019, ensuring impartiality, proper record-keeping, and clear client communication.

  • Maintains records of notarial acts securely in accordance with Rule 24, with digital systems managed under appropriate safeguards.

Why we need personal data

Primarily to allow us to carry out our services. Examples include:

  • Verifying your identity including online compliance checks.

  • Communicating with you.

  • Processing your instruction including preparing documents. 

  • Obtaining advice from third parties

  • Responding to any checks relating to documents we have previously notarised

  • Keeping records of the notarial act.

Handling Personal Data

  • Personal data is collected and processed in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

  • We adhere strictly to data protection principles, including:

    • Lawful, fair, and transparent processing

    • Purpose limitation and data minimisation

    • Accuracy and timely deletion

    • Confidentiality and secure storage where there is professional obligation to maintain a register of information.  In addition to the minimum requirements, ancillary personal data may be retained which is necessary for a complete record of the notarial act.

Client Rights

As a client, the right to:

  • Be informed about how data is used

  • Access the personal data held about them

  • Request corrections or deletion where legally applicable

  • Raise any concerns through a clear complaints process

Confidentiality & Third Parties

  • We do not share personal data with third parties unless:

    • Required by law

    • Necessary to perform the notarial service

    • Explicit consent has been given.

We operate under a Data Privacy Policy appropriate to the notarial profession.
